CSSBuy QC Checklist: How to Inspect Your Items Before Shipping
Quality control is the most important step in the CSSBuy workflow. Once your items ship, you cannot return them. The QC photos are your only chance to catch problems. This checklist helps you inspect every item systematically so you never approve a bad product.
Many buyers rush through QC and regret it later. A few minutes of careful inspection can save you from receiving a flawed item. Use this checklist for every item in your warehouse, especially high-value pieces like shoes, jackets, and bags.
General QC Checklist for All Items
Start with the basics: color accuracy, size label, stitching quality, and material texture. Compare the QC photos against the product listing. If the color looks different, request a photo in natural light. If the size label is wrong, request a measurement photo. If stitching is loose or crooked, decide whether it is acceptable or a reason to return.
Check for stains, holes, and odors. These are rare but happen. If you see any defect, request a close-up photo. Do not approve shipping until you have enough detail to make a decision.
Shoes QC Checklist
Shoes are the most detail-sensitive category. Check the sole pattern, toe box shape, heel counter, and logo placement. Compare against retail photos. The spreadsheet often notes known flaws for each batch. If a known flaw is present and worse than expected, consider returning.
Request a photo of the insole and size label. Check for glue stains, uneven stitching, and material mismatch. Shoes are also checked for correct box and accessories if you paid for them. If you did not request the box, make sure it was removed to save weight.
Clothing QC Checklist
For clothing, check the print alignment, embroidery quality, fabric weight, and tag accuracy. Screen prints should be centered and clear. Embroidery should be dense without loose threads. Fabric should match the weight listed in the spreadsheet. Tags should have correct branding and spelling.
Check the fit measurements if you are between sizes. Ask CSSBuy to measure the chest, length, and sleeve if they are not included in the default photos. These numbers are more reliable than the size chart.
When to Request a Return
Request a return if the item is the wrong size, wrong color, damaged, or significantly different from the listing. Minor flaws that match the batch description are not return reasons. The spreadsheet notes expected flaws for each batch. If the flaw is worse than described, return it.
Act quickly. The return window is usually 3-5 days after QC photos are posted. If you wait too long, the seller may refuse the return. Communicate clearly with CSSBuy support about why you want to return.
